The wearing of identification badges is mandatory and will be required for admission to all sessions and conference social functions. 

The Hong Kong Baptist University bans smoking and the use of other smoked substances on campus, including but not limited to traditional cigarettes, heated tobacco products, electronic cigarettes, and water pipe tobacco. The policy applies to all indoor and outdoor areas on campus. Anyone who fails to comply will be asked to leave the campus.

Smoking is prohibited in most public places in Hong Kong in accordance with the Smoking (Public Health) Ordinance (Cap. 371). Any person who smokes in a no-smoking area is liable to a fixed penalty of HK$3,000.

Hong Kong has one of the most efficient and frequent public transport systems in the world and there are multiple convenient payment methods in the form of cash, Octopus Card and e-Wallet.

The most convenient way to reach the Hong Kong Baptist University (Baptist University Road Campus and Shaw Campus) is via the MTR to Kowloon Tong Station, followed by a short minibus ride or a 10–15 minute walk. Please refer to the campus location and map for details.

  1. How do I purchase tickets for the conference?
    To purchase tickets for the conference, please visit our ticket sales page on our website. Click on the “Register” button and follow the prompts to complete your purchase.
  2. Can I purchase tickets on-site at the conference venue?
    No, we encourage all participants to purchase their tickets in advance through our ticket sales page. This helps us ensure a smooth check-in process and guarantees your spot at the conference.
  3. What payment methods are accepted for ticket purchases?
    We accept various payment methods, including credit cards (Visa, Mastercard, Union Pay), FPS and online payment platform such as JETCO. The available payment options will be displayed during the checkout process.
  4. Are there any discounts available for group ticket purchases?
    Please refer to the ticketing site for available group discounts or special rates for ticket purchases.
  5. Can I bring a guest or family member to the conference?
    Our conferences are open to registered participants only.
  6. Will there be an extension to the registration date?
    No, the Early Bird Registration will close on 30 September, and the Standard Registration will close on 8 Nov.
  7. What will I receive after completing my online registration?
    Upon completing your online registration, you will receive an immediate confirmation email together with a payment invoice. Once your payment has been received and processed, a payment receipt will be sent to you by email.
    For successful registrations, a QR code for event admission will also be sent to you via email. Please ensure that you provide a valid email address during the checkout process.
  8. Can I get a refund if I am unable to attend the
    conference?

    Cancellations must be advised in writing to the conference secretariat via apssa-ic2026@twc.edu.hk Registration cancellations received by 23:59 on 8 November 2026 (GMT+8) will receive a refund of registration fees, less an administrative charge of HK$600.
    Cancellations received after 23:59 on 8 November 2026 (GMT+8) will not be eligible for a refund.

    We will keep you informed about conference updates and important announcements through email. Please ensure that the email address you provided during the ticket purchase process is correct and regularly check your inbox and spam/junk folders for any communications from us.
  2. Can I request special accommodations for accessibility needs?

    Individuals requiring a letter of invitation to obtain travel visas can send their requests to the conference secretariat at apssa-ic2026@twc.edu.hk Please note that terms and conditions apply.
  1. Will there be assigned seating at the conference?
    Seating arrangements may vary depending on the conference format. Some sessions may have assigned seating or reserved area for guests or speakers, while most others operate on an open, first-come, first-served basis. You are welcome to check with the Reception or Working Team on site if needed.
  2. Is there a dress code for the conference?

    No strict dress code for the conference. However, we recommend dressing comfortably and appropriately for a professional setting. Business casual attire is commonly preferred.

  4. Will meals be provided during the conference?
    We will provide three lunches, one dinner, and daily tea breaks. Please refer to the conference agenda.
  5. Will there be any networking opportunities during the conference?
    Yes, the conference will include networking opportunities, such as lunches, tea breaks, Networking Conference Dinner. Please refer to the conference agenda for more details.
  6. Will the conference sessions be recorded and made available to participants?

    No. However, we will strive to provide presentation slides to participants with consents from the speakers.

  7. Will there be parking available at the conference venue?
    Only limited parking is available. We encourage participants to reach the Hong Kong Baptist University (Baptist University Road Campus and Shaw Campus) by public transport. Please refer to the campus location and map.
  1. Can I receive a certificate of attendance or participation?
    Yes, we will provide e-certificates of attendance upon completion of the conference through email.
  2. How can I submit feedback or suggestions regarding the conference?
    We highly value participant feedback and suggestions to help us improve future conferences and enhance the overall participant experience. You can provide feedback through online survey that will be sent after the conference or by contacting our support (ask@apssa.co).

Collection of personal information and privacy

(a) We will be collecting, using and/or disclosing Your personal data in any form and to disclose the same to third parties (including any third party located outside of Hong Kong) in compliance with the Hong Kong Personal Data (Privacy) Ordinance (PDPO) for the purpose of the Conference, subsequent registration to and all other actions necessary in relation to the Conference.

 

(b) We and/or others on behalf of us and third parties may be taking photographs and videos during the Conference. We may use such photos for the purpose of marketing, publicity, and media/social media, we may identify attendees by name in such media and/or share these with third parties.

We collect your personal information (and, if you are to be accompanied by a third party, their personal information) when you submit a registration or application form to us via this website, to indicate your wish to participate in the conference.

Personal information is collected by the Asia Pacific Student Services Association (APSSA) and/or its authorised representatives. If you wish to communicate with us about privacy, we can be contacted through email: ask@apssa.co

Generally, we collect your personal information so that we can interact with you and manage your participation in the conference.

 

(a) Contact information: 
(i) We collect names, addresses, phone numbers and email addresses for contact and identification purposes.
(ii) If you are attending the conference, we collect your personal information so that we can properly register you and accept your payments, facilitate your entry to the venue(s) and functions and conference sessions, and to arrange for various services to be provided to you, such as transport, recreation, food and beverage.
(iii) If you are participating in the conference as a speaker or presenter, we may collect your personal information so that we can manage your participation and presence, the supply of your inputs to the conference and manage the delivery of your benefits and entitlements.

 

(b) Health and other sensitive information: 
(i) In some cases, we may collect health information, where that may be relevant to the supply of food and beverage at events we manage, such as if you have special dietary needs.
(ii) In some cases, we may also collect information concerning your religious, ethnic or philosophical background or allegiance, where that is relevant to food and beverage supplied at the conference/event, or relevant to other aspects of cultural sensitivity.
(iii) We also collect information concerning your membership of a professional or trade association.

 

(c) Credit-card details:
If you are to pay for your attendance or other participation in this conference, we may also collect your credit-card details, or other particulars as may be necessary to process your payment.
